State Tax Card Organizational Structure

To allow for Zeal to compliantly and successfully accomplish tax payments and filings we’ve reorganized each State Card to have 2 sections:

Payments

  • By completing the Payments section for a given state and being marked Verified you are confirmed as prepared to run payroll. Each State has its own requirements to complete and submit for verification.  
  • Running payroll requires us to not only withhold taxes from Employees but also remit those withholdings to the appropriate jurisdictions. To remit payment we need a baseline of information that differs by location. It is crucial you submit the necessary information for us to make payments on your behalf. Not doing so results in penalties, late fees, and complicates future payments.

Filings

  • By completing the Filings section for a given state and being marked Verified you are confirmed as prepared for us to report on gross wages, taxes withheld, and payments remitted in that single state. 
  • You are required by law to report to the proper tax authorities, to accomplish this Zeal needs specific information, and in certain cases permissions to accurately file taxes. 

Within each State Card it remains divided as before, between State Income Taxes (SIT) and State Unemployment Taxes (SUI). By demarcating State Tax Cards into payments and filings we clearly identify the necessary information required  to successfully make payments and submit filings to tax agencies.

Statuses on State Tax Cards


To make the requirements of the Tax Setup Page more intuitive we’ve introduced 4 new status to the demarcated Tax Payments and Tax Filing sections of State Tax Cards. 

  • Not Started - Any state that you have yet to provide tax details for is marked Not Started.
  • Pending - After you’ve submitted information, our team will confirm your Tax IDs, ability to gain TPA access (where required), and deposit schedules. During this time, you’ll see a pending status. 
  • Verified - Being marked Verified confirms you’ve completed all the necessary steps to allow Zeal to pay or file taxes on your behalf*. You are marked Verified once the support team has confirmed access, (this may include confirming TPA access to a tax portal.) Submissions are reviewed every business day by our Support team during the Quarter. Anything submitted after the end of a Quarter in which you actively processed payroll is considered late. 
  • Invalid - If for any reason a number, pin, or other information provided does not match what a State or jurisdiction has on file for you we will be unable to complete the steps to pay or file your taxes. Our team will mark what field caused the error and request for an update. 

*Zeal will review requirements on a case by case basis for outlier state requirements and the review timeline can be altered by volume of inputs.
